You can do these in any order, but we recommend going top-to-bottom. Total time: ~45–60 min.

    Sign up & create your account

    Go to chatorder.co.uk and click Get Started. Enter your restaurant name, your name, and a working email. That's it — you'll land in the dashboard.
    💡 Tip

    Use the email you actually check. We send order receipts and weekly invoices here.

    ~10 min

    Connect your WhatsApp Business number

    From the dashboard sidebar, open Integrations → Connect WhatsApp. A Meta popup walks you through linking your business number to ChatOrder. You'll need:
    • A Facebook Business Manager account (free, takes ~5 minutes to create)
    • A phone number you can receive an SMS on (the WhatsApp Business number)
    💡 Tip

    If you already use WhatsApp Business on your phone, you'll need to switch to the API version. We help you do this on a call if you get stuck.

    ~20 min

    Add your menu

    Open Menu in the sidebar. Create categories (Starters, Mains, Drinks…), then add items with prices, photos, and any customisations (sauces, sizes, spice level). The bot uses these exact names + prices when taking orders.
    💡 Tip

    Upload clear photos — customers order ~30% more when they can see the food. Phone-camera shots in daylight are perfectly fine.

    Connect Stripe to accept card payments

    Optional but recommended. Go to Settings → Payments, paste your Stripe Publishable and Secret keys, click Save. Money goes straight to your Stripe account — we never hold funds. Card payments arrive next-day.

    Set hours, delivery zone & order types

    In Settings → Order Types, toggle which types you accept: collection, delivery, or dine-in. For delivery: set your radius or postcode list, fee, and minimum order. In Settings → Hours, set the days/times you take orders.
    💡 Tip

    The bot won't take orders outside your hours and won't take delivery orders outside your postcode list. Both protect you from disappointed customers.

    Print your QR poster & go live

    Download your QR poster from QR Codes in the sidebar. Stick it on your shop window, takeaway bag, or table. When customers scan, it opens a WhatsApp chat with your number — they're ordering in seconds.
    💡 Tip

    Your first 10 orders are free. After that it's 30p–99p per order, capped. Billed weekly. Cancel anytime.

Before you start, you'll need

None of these cost money. If you're missing any, sort them first.

  • A phone number you can receive SMS on (the WhatsApp Business number)
  • Your business name, address, and opening hours
  • A Facebook Business Manager account (free, ~5 min to create)
  • Your menu — names, prices, and ideally photos
  • Optional: a Stripe account for accepting card payments
  • Optional: your business postcode (for delivery radius)

Common questions

Do I need a new WhatsApp number?+

No — you can use your existing business number, as long as it's not currently linked to the consumer WhatsApp app on a phone. The switch to WhatsApp Business API takes about 10 minutes during setup.

How fast do customers get a reply?+

Instant. The AI replies in 2–4 seconds and handles the entire conversation: menu, customisations, address, payment. You get a notification when the order is placed.

What if the AI gets something wrong?+

You can jump into any chat from the Live Chat tab in the dashboard and take over as a human at any time. Most restaurants do this once or twice a day for tricky requests.

Do I pay if a customer doesn't order?+

No. We only charge per completed order. A customer asking for hours or browsing the menu is free.

Can I cancel? Do you lock me in?+

Cancel any time. Billed weekly. No contract, no setup fee, no monthly minimum.

What about refunds?+

One click from the dashboard. We send it back to the customer's card via Stripe instantly, and the order shows as refunded.
